SLA Fellows Meeting

Los Angeles, California, Sunday June 9, 2002

    Meeting was called to order by convener Susan Klopper in the Santa Anita A Room of the Westin Bonaventure Hotel at 3:30 p.m. on Sunday, June 9, 2002.

      Fellows signed in and provided their email addresses.  See attached attendance sheet.

Agenda

Approval of Minutes.

Minutes from the June 10, 2001 meeting in San Antonio, TX were approved and will appear on the Fellows website.

          Introductions and Welcome.

    New fellows were introduced and received their Fellows pins:  Peter Moon, Lynne McCay, Charlene Baldwin, and Sandy Spurlock. 

      Donna Scheeder stressed the need for Fellows to watch the deadline dates and identify and nominate SLA members for awards.

        Old Business.

1.  Use of the term “fellow”.  Discussion followed on the incorrect use of the term “fellow” when distinguishing international librarians receiving awards to attend SLA conferences.  Since there are no special international conferences planned in the near future, this is no longer a pressing problem, but the Convener should be charged to address this issue if it comes up again.

2.  Fellows Website.  The site is “safe and secure” and available here. 2000 and 2001 minutes are currently posted on the website.  Issues and trends are also there, as well as biobriefs and photos.  New fellows are encouraged to submit their bios and a digital photo for use at the website.  Send to Barbara Semonche

3.  First Timers program.  Convener led a lengthy discussion on the first timers program and the role of the Fellows in identifying and mentoring first timers.  Here are some of the comments:

    a.  This year there will be an experiment with a panel of Fellows with Q&A at the First Timers Program.

    b.  Fellows are developing a FAQ to assist first timers.

    c.  An email welcome letter to first time attendees which will also be posted on the SLA website will welcome first time attendees.

    d.  A 1-page “bingo” will be distributed at the reception, with prizes available.

    e. Question:  what is the audience of the first timers’ reception?  It is not clear that first timers see the need to self identify.

    f.  Could the headquarters conference database cross check names to aid in the identification of first time attendees?

    g.  Division Chairs and Chapter Chairs could look at the registration lists of their membership to “scope out and scoop up” the first timers.  Question – what would be the timing of that?  If right after early bird registration, what about the rest?  If later than that, how would we have enough time to do anything special?

    h.  If we pair first timers with veteran conference goers, their conference experience might be enhanced.

    i. If we identify first timers in advance we could send them info packets.

    j.  Wouldn’t it be a nice gesture to put a welcome basket in their hotel rooms?

    k.  On the registration form the box to identify as first timers needs to be in a more prominent place.

    l.  With online registration next year, there will be more opportunities to retrieve up-to-date information.

    m. Other units recognize their first timers; perhaps the Fellows program should coordinate with the other units.

On the profile of first timers:  First timers are not necessarily entry-level librarians; they may be career librarians attending SLA for the first time.

On the timing of the first timers program (this year Sunday, 5 p.m. – 6:30 p.m. in the Westin Emerald Bay room):

    a.  Usually we expect about 200 people

    b.  This year the program conflicts with the opening of the exhibit hall

    c. It is important to coordinate with other conference-wide programs when scheduling the first time attendees’ program/s.

    d.  Hold the first timers program near the entrance of the exhibit hall.

On identifying first timers through student groups:

    a.  Approach student chapters directly

    b.  Use student listserv to promote the SARC awards and the first timers program

    c.  Chapters could work with library schools, encouraging Fellows to talk to the students in library classroom settings

On the name of the program.  Perhaps “First Timers” is not the best name.  Suggestions:

    a.  Conference orientation

    b.  Ask Steven Abram his suggestion for the name of the first timers program.

ACTON:  Current Fellows Convener Susan Klopper will take our questions and concerns to SLA, and will coordinate with New York planning for non-exhibit hall conflict meeting time and place.

New Business and Announcements.

      1. Barb Spiegelman is the 2003 convener.  New Fellow Lynne McCay will be the 2004 convener.

      2.  Cindy Hill reported on the Executive Director search committee, announcing that Lynn Berard will be the chair.

      3.  Sylvia Piggott thanked the Fellows who responded to her letter on the bylaws revisions. Donna Scheeder explained that the Fellows can be a catalyst for change.  She also discussed the evolution of the current bylaws document: that there were lessons learned, but the SLA leadership hopes for a decision at the annual business meeting on Wednesday.

    4.  Other important SLA meetings were called to our attention.

    5.  The Fellows stood for a group photo.

 The meeting was adjourned at 4:50 p.m.
